HOA Administrative Responsibilities

Community Management Documents

We strive to make your HOA Administrative responsibilities easier for all homeowners by offering online payment capabilities, homeowner accounting and violation history, online documents that govern the association, all bids, contracts, meeting minutes and budgets. We also offer the service to create a newsletter on a quarterly basis to help keep the homeowners informed of what is going on within their community, as well as a message board and calendar to keep you informed of board meetings, socials and special events. For those with tennis courts, we have an online reservation system so you will be able to see if the court is available and place a hold on the court for your entertainment.The least known part of the management company’s job is the amount of calls received each month from homeowners.  These calls and communications range from responding to inquiries regarding trash pickups, architectural and/or landscape modifications requests, right through to the occasional angry calls that might relate to a neighbor, pets, volunteers or even the developer.  Resolving people’s concerns and general assistance in all areas of the Homeowners Association is a main goal of Liberty Management.  The management company must also respond to the deeper concerns and occasional anger and frustration that is sometimes expressed by homeowners.  This homeowner contact takes up a large portion of the manager involvement in the association, so much that we provide a full staff with various department including accounting, IT, maintenance and more. HOA Administrative responsibilities come into play much more than most think, newsletter, mailers and such all have to be designed and put together by our staff.

  • Assist the Board and homeowners with interpreting declarations, covenants and by-laws
  • Assist in developing rules & guidelines
  • Liberty will manage, coordinate meetings
  • Maintain communication with board members
  • Liberty Community Management will maintain and provide access to association records
  • Maintain homeowner database
  • We provide language interpretation services and verbal as needed

  • Solicit contractor bids as-needed, issue work orders and follow-up on action taken or needed.
  • Monitor contract personnel
  • Handle after-hours emergencies
  • Prepare newsletters, mailings, send notices and ballots for meetings for the membership, provide and insure current paid membership list used for any meeting voting required, also locate and book venue, provide arrangements to reserve said meeting locations, provide any and all material and reports needed (from 5 to 9 reports) for meetings including agenda, prepare Power Point presentation, provide A/V equipment needed for meeting.
